Pennyhill Park Christmas Awards Night with N2O – LED Videowall, Lighting & Stage Hire in Surrey

When N2O asked us to support their annual awards and Christmas company party, we knew it needed to look every bit as special as the work they deliver for brands all year round. As an award-winning brand experience agency, N2O live and breathe immersive, high-impact events, so the brief was simple: create a polished awards environment with plenty of festive atmosphere in the Balmoral Suite at Pennyhill Park, Bagshot, Surrey

The venue: Balmoral Suite at Pennyhill Park, Bagshot

Pennyhill Park is a luxury hotel and spa set in 123 acres of Surrey parkland, just outside London and within easy reach of Heathrow – an ideal setting for corporate events and company celebrations.

The Balmoral Suite offers space for around 200 guests, with a private bar, chandeliers, and flexible layouts that work just as well for conferences as they do for formal dinners and awards.

For this event, the suite hosted N2O’s annual awards, Christmas dinner and evening celebration, with an additional room used later in the night to keep the party going.

Building the main stage: LED videowall & staging

To give the awards content real impact, we supplied a 3.5m x 2m LED videowall with truss rigging, processor/scaler and stage weights. This created a bright, high-resolution backdrop for:

• Awards stings and walk-ups

• Branding and motion graphics

• VT playback and holding slides

In front of the screen, we built a 5m x 2m stage complete with step and black skirt/valance – providing a clean, professional platform for presenters, award winners and any on-stage entertainment.

A 32″ comfort monitor with black surround was positioned discreetly to give presenters confidence with notes, show flow and timers, while a 50″ relay screen ensured guests further back in the Balmoral Suite had a clear view of everything happening on stage. This combination of LED screen rental, relay screen hire and stage hire is ideal for corporate events where sightlines really matter.

Lighting design: awards-ready and Christmas-ready

To transform the Balmoral Suite from daytime conference mode into an evening awards and Christmas party setting, we designed a flexible lighting hire package, built around:

• Evora 850 moving lights for dynamic gobos, sweeps and colour looks during walk-ups and party tracks

• Elumen8 Fresnels MP120 for soft, even stage wash on presenters and award winners

• LEDJ Rapid QB1 Hex IP LED uplighters to wash the walls and architectural features in brand and seasonal colours

• LEDJ Pixel Storm 12 Quad LED battens to add eye-catching chase effects and accents around the stage

All of this was run from a Wolfmix W1 DMX controller, giving the operator fast, hands-on control for everything from rehearsals to the high-energy party set.

In the second room, we used LEDJ Intense Par 9HEX10 Pro fixtures to carry the same festive colour palette through to the after-party space, keeping the look consistent as guests moved between areas.

Careful placement of stage weights and truss rigging ensured everything was secure, neat and in keeping with the Balmoral Suite premium interior.

Show day: from 9am load-in to 5pm show start

Our AV team arrived on site at 9am to begin load-in and build:

1. Staging and truss structure

2. LED videowall and processor

3. Lighting fixtures and cabling

4. Relay screen and comfort monitor

By 2pm, everything was in place for rehearsals with N2O’s team – running through awards content, checking playback, refining lighting cues and ensuring presenters were comfortable on stage.

Doors opened to guests for a 5pm start, with the room already dressed in warm seasonal colours ready for a night of awards, dining and celebration.
